Privacy Policy

Last updated: 14 July 2026

This policy explains how MatchdayLab collects, uses and protects personal data. It applies to this website (matchdaylab.com) and to the filming, editing and delivery services we provide.

1. Who we are

MatchdayLab is a sole trader business operated by Damo, trading as “MatchdayLab”, based in London, United Kingdom.

For the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, MatchdayLab is the data controller for the personal data described in this policy.

If you need to write to us by post, email us at the address above and we will provide a postal address for correspondence.

2. The personal data we collect

2.1 Information you give us

When you complete the enquiry form on our website, or contact us by email or phone, we collect:

If you go on to book, we also collect billing details, invoicing information and correspondence relating to your fixture.

2.2 Audio-visual material captured at fixtures

When we film a match we record video and audio. That footage will contain images — and may contain the voices — of players, coaching staff, match officials, spectators and others present at the ground. Images of identifiable individuals are personal data.

Where we produce individual player reels, we also process the names, shirt numbers and playing positions supplied to us by the club.

2.3 Information collected automatically

Our web server automatically records limited technical information, including your IP address, browser type, device type and the pages you viewed. We rely on legitimate interests (site security and reliability) for these server logs.

Separately, cookies may collect information about how you use the site. Non-essential cookies are only ever set with your consent. See our Cookie Policy.

2.4 Special category data

We do not intentionally process special category data (such as health, racial or ethnic origin, or religious belief data) and we never ask for it. We recognise that video footage of people can incidentally reveal characteristics of this kind. We do not analyse footage to infer such characteristics, and we do not use it for any purpose beyond delivering the service booked.

We do not store your card details. Payments are handled by our payment provider.

3. How and why we use your data

What we do Data used Lawful basis (UK GDPR Art. 6)
Respond to your enquiry and provide a quote Name, club, email, phone, fixture details Legitimate interests — responding to a request you made
Deliver the filming, editing and delivery service you booked Contact and fixture details, match footage, player details Performance of a contract
Invoice you and keep accounting records Name, club, billing details, transaction records Legal obligation (tax and accounting law) and performance of a contract
Capture and edit match footage containing images of individuals Video and audio footage Legitimate interests — providing a commissioned filming service to the club, balanced against the rights of those filmed. The commissioning club is responsible for notifying participants and obtaining any consents required (see section 5).
Use clips or stills to promote MatchdayLab (e.g. our website or social media) Video and stills Consent of the individuals shown. The club’s written permission is a contractual precondition, but it is not a substitute for the consent of the people in the footage. We honour every individual opt-out, and we never use footage of under-18s promotionally without parental consent.
Send you marketing emails about MatchdayLab Name, email Consent — or, where you are an existing customer and we are marketing a similar service, the “soft opt-in” under PECR reg. 22. Every message carries an unsubscribe link.
Establish, exercise or defend legal claims Any relevant data Legitimate interests — protecting our legal position

Where we rely on legitimate interests, we have carried out a balancing assessment and are satisfied our processing does not override your rights and freedoms. You can ask us for details of that assessment, and you have the right to object (section 8).

4. Match footage — how we handle it

5. Filming, consent and children

Grassroots football frequently involves players under 18. Responsibility for consent is shared, and it matters that both sides understand their role.

The commissioning club is responsible for:

MatchdayLab is responsible for:

If you do not want to appear in MatchdayLab footage — whether you are a player, parent, guardian, official or spectator — you can tell your club, or you can come to us directly at damo@matchdaylab.com. You do not have to go through the club. We will act on your request free of charge and we will not ask you to justify it.

Our operator holds an enhanced DBS check.

6. Who we share your data with

We do not sell your personal data. We share it only with:

7. How long we keep your data

Data Retention period
Enquiry form submissions that do not lead to a booking 12 months from last contact
Customer contact and booking records Duration of the relationship plus 6 years
Invoices and accounting records 6 years after the end of the relevant tax year (HMRC requirement)
Raw match footage 6 months after delivery, then deleted
Delivered edits and player reels Archived for as long as we have an ongoing relationship with the club, so that footage can be re-supplied on request. We review our archive at least once a year and delete material we no longer have a reason to keep. Any club or individual may ask us to delete their footage at any time, and we will do so.
Marketing consents and opt-outs Until consent is withdrawn. Opt-out records are kept indefinitely so we can continue to honour them.

8. Your rights

Under UK data protection law you have the right to:

To exercise any of these rights, email damo@matchdaylab.com. We will respond within one month. There is no charge. We may ask you for information to confirm your identity before we act.

9. Security

We take appropriate technical and organisational measures to protect your data, including encrypted storage, access controls, strong authentication on our accounts, and secure, time-limited delivery links. No system is completely secure, but we will notify you and the Information Commissioner’s Office where we are legally required to do so in the event of a personal data breach.

10. International transfers

Some of our service providers (for example cloud storage and email) may store data outside the UK. Where data is transferred outside the UK we ensure an appropriate safeguard is in place — such as UK adequacy regulations, or the International Data Transfer Agreement / UK Addendum to the EU Standard Contractual Clauses.

11. Cookies

Our use of cookies is set out in our Cookie Policy. You can change your preferences at any time using the “Cookie Settings” link in the footer.

12. Complaints
